WebOffice4Schools provides many useful functions, including accepting or rejecting submitted I-forms. In addition, I-forms can be set up with multiple levels of approval. WebOffice4Schools will automatically advance the request to the next level of approval.
This tutorial will describe the process of accepting or rejecting a single I-form or multiple I-forms within WebOffice4Schools.
The Dashboard shown above is the beginning point of the process of accepting or rejecting an I-form.
The Toolbox dropdown menu will provide access to the Accept / Reject I-forms function.
Approving I-forms Individually
Once Accept/Reject I-forms has been chosen from the Toolbox dropdown menu, a screen similar to the above will display. If no I-forms are waiting for a decision, the screen will read: You currently do not have any I-Forms to Accept or Reject.
The first column identifies the name of the I-form. This will come in handy if you are responsible for the approval of more than one.
The second and third columns identify who was signed in when the form was submitted followed by the date submitted.
The Accept / Reject column provides a link to the window below where the form can be accepted or rejected.
The View link allows you to simply view the responses to the completed I-form without taking any action.
Viewing Details and Approval Process
- After clicking on the Accept / Reject link, the details of the form are displayed. The items with responses as well as the Approval Process are shown.
- Each name under the Approval Process is a hyperlink to their email.
- A Comments section is available so you can provide details about why this form was approved or rejected.
- The Approve and Reject buttons are at the bottom and pretty much do what you would expect them to do.
Approving Multiple I-forms
Often it is efficient to approve several I-forms at a time. The check box within the header will activate all forms listed below. Another option is to select items individually, say the first and third forms.
Either of these options will display an additional button within the header that allows for this multiple approval/rejection.
All forms selected in the previous step are listed here.
The View link on the right will display the details of the form.
Approve or Reject buttons are displayed at the bottom and when chosen, will approve or reject all forms shown above.
