Rolling Over Enrollments to the New Year

The roll-over feature creates new class/services in new school year using existing enrollment data.

Roll Over Class Lists

Enrollments>Class Lists>Rollover Class

  1. Choose the Rollover Type. Existing Class will populate a Class drop down of the class masters which exist in the new school year. New Class will bring up the option to set up a new Class Master before adding students to it.
  2. Add the New Class Description of the new class.
  3. Choose which school Year the students are being "rolled" to.
  4. Add the Start Date of the new class.
  5. Add the End Date of the new class.
  6. Check the Rollover Enrollment Comments check box if the existing comments in the enrollments should be included.
  7. Check the check box in the green bar next to Rollover to select all students on the existing list, or 
  8. Check the check box next to the student(s) to be rolled over.

Click Rollover.

The roll-over process remains in the year the class is being rolled from. To see the newly created class master/list, change the school year to the new year and look under Enrollments>Class List.

Roll Over Itinerant Services

Note: The rollover feature is disabled for the Nursing, Occupational Therapy, Physical Therapy, Psychology/ Guidance Counselor/Social Work, and Speech lists because of the interface with Medicaid billing applications.
Click on Enrollments>Itinerant Lists and find the Itinerant service/staff which has the list to rollover to the new year>click on Rollover Itinerant Students

  1. Choose the Rollover Type. Existing List will populate an Existing Itinerant List drop down of that itinerant service's itinerant lists which exist in the current or new school year.  The New Service Provider option will bring up the option to set up a new itinerant list before adding students to it.
  2. Choose which school Year the students are being "rolled" to.
  3. Choose the service Provider.
  4. Add the default Start Date of the new list.
  5. Check the check box in the green bar next to Rollover to select all students on the existing list, or check the check box next to just the student(s) to be rolled over.
  6. Click Rollover.

The roll-over process remains in the year the class is being rolled from. To see the newly created class master/list, change the school year to the new year and look under Enrollments>Class List.
